A customer rarely begins with the word “quotation.” They say things like:
- “Send me the Kerala package.”
- “Bali for four people in December.”
- “What will a honeymoon trip cost from Chennai?”
That is already buying intent. The job of a useful WhatsApp sales workflow is to recognise the package, answer what is known, collect the missing trip details and create a request that a travel consultant can price.
It should not pretend that a custom itinerary or final price already exists.
The outcome: a quotation request, not an automatic quotation
For most travel agencies, the final price depends on dates, departure city, traveller count, room preference, flights and availability. An AI reply should not guess those inputs or promise a booking.
A clean handover looks like this:
- The customer asks about a known package or destination.
- Buddie answers from the package information the agency approved.
- The conversation starts collecting the fields configured for that package.
- The customer can answer naturally in chat or use a structured WhatsApp form when several details are needed.
- LeadBuddie creates a quotation request with the collected context.
- A travel consultant prepares the real itinerary and price.
That boundary builds trust: the customer gets momentum, while the agency keeps control of availability and commercial decisions.
Start collection when the customer commits
Do not wait for a phrase such as “give quotation.” Real customers commit in several ways:
- tapping a package or service option;
- typing the number of an option they were shown;
- asking for a package by name;
- saying “send details” after discussing a matched trip.
Once the package match is strong and that package has a quotation policy, the same reply can confirm the selection and ask the first required question.
Weak or ambiguous matches should not start a form. Ask a clarifying question first.
Ask only for details that change the quote
A travel-agency quotation request commonly needs:
- destination or package;
- travel dates or month;
- departure city;
- number of adults and children;
- trip duration;
- hotel or room preference;
- flight inclusion;
- contact name and any important constraints.
Not every agency needs every field. A domestic weekend package may need four answers; an international group tour may need more. Configure fields per product instead of forcing every lead through one generic form.
Make answers bind to the question already asked
If Buddie asks “Which city will you depart from?” and the customer replies “Chennai,” that answer should update the pending departure-city field. It should not restart qualification or ask the same question again.
The collection loop is simple:
Ask one required detail
→ store the customer’s answer
→ ask the next missing detail
→ show a short summary
→ create the quotation request
The summary gives the customer a chance to correct dates, counts or preferences before the request reaches the team.
Handle “more photos” without restarting the flow
Travel customers often ask for another hotel image, itinerary detail or inclusion while collection is in progress. Treat these as continuation questions:
- answer from the approved package information;
- keep the already collected fields;
- return naturally to the next missing detail.
Do not create a second request or reset the conversation because the customer asked for more information.
Test the exact journey before enabling Auto
Use a practice chat and try at least these cases:
- The customer taps a package.
- The customer types “1” after receiving a list.
- The customer asks for the package by name.
- The customer answers fields in short phrases.
- The customer changes a date midway.
- The customer asks an unrelated question during collection.
- The customer requests a human.
The test is successful when the final record contains the right package and fields, and when the team—not the AI—owns the final quotation.

Before this workflow goes live, the agency owner should confirm:
- active packages and service areas;
- starting prices or an instruction to avoid quoting prices;
- inclusions, exclusions and restrictions;
- the fields required for each quotation request;
- when Buddie should hand the conversation to a person;
